The Role
This dynamic and multifaceted role is responsible for the coordination and delivery of all Academy travel, transport and tournament operations, ensuring a safe, efficient and high-standard experience for all players and staff. This includes delivering domestic and international tours and managing a fleet of vehicles and a team of drivers. Reporting to the Academy Administration Manager, you will play a key role in maintaining operational excellence across all areas of travel and transport.
Key Responsibilities
Trips & Tournaments Management
- Lead the coordination and delivery of all domestic and international Academy trips and tournaments.
- Plan bespoke itineraries, manage third-party relationships (e.g. tour operators), and ensure all logistics meet the needs of the team.
- Conduct pre-visits and risk assessments and lead on-the-ground delivery where required.
- Manage passport, visa, and documentation requirements for international travel.
- Maintain the tour calendar across all age groups, ensuring alignment with academic schedules and player welfare.
- Handle last-minute travel changes and communicate updates to stakeholders.
- Chair the Academy Trips & Tours Committee, presenting opportunities and making recommendations to the Academy Management Team.
- Lead on Tour Debriefs and creation of photobooks/records post-trip.
Transport & Fleet Operations
- Oversee all daily and strategic transport operations for the Academy, ensuring vehicles and drivers are deployed efficiently and safely.
- Manage a team of drivers, ensuring compliance with Club and legal standards including licensing, health and safety, and safeguarding.
- Ensure regular vehicle maintenance, servicing, MOT certification, insurance, and replacement planning.
- Monitor the payroll process for casual drivers and track all transport-related expenditures and budgets.
- Implement and update transport-related SOPs, improving efficiency and safety.
- Develop and maintain transport data systems, providing accessible and up-to-date information to staff, players, and parents.
- Liaise with Club Fleet Services to deliver value from third-party contracts and tenders.
General Administration & Support
- Be a Designated Safeguarding Officer for the Academy. The DSO will support the work of the Safeguarding Team and the Safeguarding Operational Leads to drive the operational response to safeguarding matters on trips and tours, and throughout the training centre through recognising concerns, reporting appropriately and actioning concerns where required and in line with the club's safeguarding policies.
- Support the Academy Administration Manager with departmental administration.
- Coordinate travel and transport for domestic fixtures, FAYC matches, and other key events.
- Work collaboratively with multi-disciplinary teams on accommodation, catering, risk, kit, and scheduling.
- Act as a Teamworks Super User and ensure digital platforms are fully utilised.
- Ensure all records are accurately stored on Academy SharePoint platform.
- Ensure all communications, documents, and materials align with Club branding standards.
- Contribute to Club initiatives in diversity, equality, inclusion, and sustainability.
- Carry out any other duties consistent with the role as directed by senior management.

What You Will Bring
Essential Qualifications and Skills
- Minimum Grade 7 GCSE in English and Maths (or equivalent).
- Full, clean UK driving licence.
- Demonstrable experience managing travel, transport, or events in a fast-paced operational setting.
- Strong written and verbal communication skills.
- Excellent IT skills, including MS Office (Excel, Word, Outlook).
- Experience in budget tracking and cost-effective planning.
- Practical knowledge of health & safety, risk assessments, and safeguarding procedures.
- Ability to work independently and collaboratively in a small team environment.
Desirable Qualifications and Skills
- BA or BSc in a relevant field (e.g. Sports Management, Events, Logistics).
- Category D1, MiDAS, ISBA Minibus Compliance Course or RoSPA training (or willingness to undertake).
- Knowledge of the EPPP, PGAAC, and Premier League Youth Development Rules.
- FA Safeguarding Children certification.
- Experience in an elite sporting or Academy environment.
- Proficiency in Adobe Creative Cloud (e.g. Photoshop, InDesign).
- Ability to speak a second European language.
