We are seeking an HR Coordinator to join our dynamic and fast-paced team. This role provides support to the Human Resources teams as an onsite resource at our distribution center in Evansville, Indiana. In this employee-facing role, they will provide support and guidance to employees on HR policies, programs, and benefits in a timely, accurate and confidential manner, and play an integral part in the employee experience.
Essential Functions and Key Responsibilities:
- Initial HR point of contact for general employee inquiries related to employment, policies, benefits, etc. Responds and/or directs to appropriate HR individual.
- Administers new hire onboarding process ensuring a positive employee experience, including:
- Manages communication with internal teams for new employee set-up
- Manage new employee communication and touchpoints leading up to start date
- Process pre-employment screenings, including background checks.
- Ensures completion of onboarding documents, including I-9 verification of employment eligibility
- Coordinates day one (i.e. orientation, IT set-up/orientation, badge)
- Facilitates check-in meetings after employees start their roles to confirm understanding and ensure they can access benefits and programs.
- Responsible for the integrity, compliance, completeness, maintenance, and retention of all active and archived personnel files. Includes tracking, maintenance and updates of I-9 documentation as needed. Coordinates with HQ counterparts for archiving requirements.
- Ensures confidentiality and audits records on a regularly scheduled basis for compliance.
- Process actions in the HR system (Workday) to facilitate employee changes. Ensures all employee notices, offer letters and documents are uploaded in Workday.
- Facilitates employee off-boarding process, including separation paperwork, scheduling exit meetings, and follow-up as necessary.
- Supports the HR Business Partner with tracking staffing information and compilation of HR metrics such as absenteeism, turnover, etc.
- Communicates with employees on approved leave of absences (LOAs) to obtain updates on status and return dates, maintaining accurate records for tracking purposes.
- Submits first report of injury to worker’s compensation insurer. Maintains accurate record keeping on workers compensation claims to review with HR Business Partner as needed.
- Plays a key role in developing and executing employee morale events and programs at the facility by planning, liaising with vendors, managing announcement communications, and overseeing or leading day-of-event operations.
- Responds to and completes inquiries for employee data from third parties, including unemployment requests, verifications of employment, and subpoenas.
- Facilitates company’s labor compliance postings and notifications for the local facility.
- Supports the Total Reward functions with onsite benefits processes (plan enrollments, onboarding/offboarding, orientations, onsite vendor visits, etc.), payroll processes (distribution of checks/pay cards, wage orders, etc.), and other reward programs.
- Ensures compliance of processes with Company policies and state/federal laws.
- Supports the onsite execution of all other HR-related programs.
- Performs other related duties and assignments as required.

- Self-motivated and adaptable in a fast-paced and evolving work environment.
Education, Work Experience, and Professional Certifications:
- High school diploma required, B.S. / B.A. preferred with a focus on Human Resources, Business Administration, or Organization Development preferred
- 2+ years related Human Resources experience required
Work Environment / Physical Requirements:
- Office environment, heavy computer use
- Warehouse/distribution center environment; possible exposure to dirt, dust and noise
- Light physical effort equal to frequent lifting or moving of lightweight materials.
- Regularly required to sit or stand, bend and reach.
- Ability to work extended hours as necessary
