We’re looking for a proactive and customer-focused Course Administrator to join the Institute of Swimming team.

In this role, you’ll provide accurate and timely administrative support across our education and training programmes, helping to ensure courses run smoothly from start to finish. You’ll play a key part in supporting learners, tutors and delivery partners while maintaining high standards of organisation, quality and customer service.

Key Responsibilities

Administration

  • Input data across Institute of Swimming systems in line with standard operating procedures to maintain accurate records.
  • Complete general course administration including documentation checks, ordering resources and sending confirmations.
  • Ensure finance processes are followed at all times, including vouchers, purchase orders, transfers and cancellations.
  • Liaise with delivery venues to ensure all course information and resources are in place ahead of delivery.

Customer Service

  • Respond to customer enquiries by phone and email in a timely, professional and friendly manner.
  • Support customers with using the online booking system and provide guidance where required.
  • Resolve queries from learners, companies and tutors efficiently to maintain a high level of service and protect organisational reputation.

Additional Responsibilities

  • Support wider team objectives and carry out duties within the scope and spirit of the role as required.
  • Comply with organisational policies, particularly Equality & Diversity, Health & Safety and GDPR.

Skills and Experience

Essential

  • Proven experience in administrative duties including telephone handling, emails, data input and document creation.
  • Ability to manage a varied workload and meet tight deadlines.
  • Experience providing excellent customer service to a range of stakeholders.
  • Strong IT skills with good knowledge of Microsoft Office packages.
  • Excellent organisational skills and ability to work in a fast-paced environment.
  • Ability to manage multiple tasks simultaneously.
  • Ability to work both independently and collaboratively as part of a team.
  • GCSE Grade A–C (or Level 4+) in English and Maths.

Desirable

  • Knowledge of Institute of Swimming courses and programmes.
  • Understanding of education or training processes and systems.
  • Experience with booking systems, databases or bespoke platforms.
  • Awareness of purchase order systems.
