Rugby World Cup Australia is seeking a Stakeholder Ticketing Coordinator to join our team in the Sydney CBD. Reporting to the Stakeholder Ticketing Lead, you will support the end‑to‑end delivery of the RWC 2027 Stakeholder (B2B) Ticketing Program, coordinating daily ticketing administration, maintaining accurate stakeholder records, and ensuring seamless operations across 52 matches and 8 venues. The role serves as a primary contact for stakeholders, providing timely customer support, managing communications, and assisting with the preparation of reports, guides, and operational documentation. Working closely with the Stakeholder Ticketing Lead, Ticketmaster, Finance, and internal teams, the coordinator helps deliver multiple sales phases, resolves technical or payment issues, and contributes to tournament‑time readiness and match‑day delivery ensuring an exceptional, high‑quality ticketing experience for all RWC stakeholders.

Key responsibilities include but are not limited to:

Stakeholder Support & Sales Administration

  • Coordinate stakeholder ticket requests, orders, entitlements, and day‑to‑day administrative tasks.
  • Support delivery of stakeholder (B2B) sales phases and maintain accurate records across ticketing systems.
  • Prepare reports, sales updates, reconciliations, and monitor payments in collaboration with Ticketmaster and Finance.

Stakeholder Engagement & Customer Service

  • Act as the primary contact for stakeholder queries, delivering timely and solution‑focused support.
  • Build strong relationships and coordinate the distribution of stakeholder communications and updates.
  • Assist with briefing materials and support match‑day operations, troubleshooting ticketing issues for stakeholders and guests.

Ticketing Operations

  • Manage stakeholder accounts in the Client Ticket Portal (CTP), ensuring data accuracy and correct entitlements.
  • Review seating manifests, allocations, and ticket distribution, escalating system issues as required.
  • Support tournament‑time delivery through operational documentation, guides, and general ticketing assistance.

Qualifications & Experience

  • 1-3 years' experience in ticketing, major events, customer service, stakeholder management, or a related operational/administrative role.
  • Proven ability to manage high‑volume stakeholder enquiries (50-200+ per week) while building strong, professional relationships.
  • Excellent communication skills (written and verbal), with the ability to provide timely (24-48 hr) and solution‑focused support.
  • High attention to detail and accuracy across data entry, entitlements, reporting, and ticketing systems.
  • Strong organisational skills with the ability to manage multiple concurrent priorities and perform well in fast‑paced environments.
  • Tech‑savvy, proficient in Microsoft Office (especially Excel) with the ability to quickly learn new systems; experience with CRM/ticketing platforms is advantageous (Ticketmaster preferred).
  • A collaborative, reliable team player with a positive attitude and flexibility to work evenings, weekends, and event days during tournament operations.
