About the role
Rugby World Cup Australia is seeking an Accommodation Manager to join our team in the Sydney CBD office. Reporting to the Senior Accommodation Manager, you will oversee hotel inventory and room blocks, bookings and rooming list management, budget and milestone delivery, governance reporting and operational use of the Tournament Management System (TMS). Leading a team of Accommodation & Reservations Coordinators, the role ensures accurate data, seamless processes and high‑quality service delivery across planning and tournament time.
Working closely with key Functional Areas including Rugby & Team Services, Workforce and the Tournament Guest Programme, as well as external hotel partners, the Accommodation Manager ensures accommodation requirements are captured, managed and delivered efficiently. The role is accountable for supplier liaison, hotel inspections, issue resolution, and the development of operational policies and escalation pathways. Success is measured by seamless accommodation delivery for all client groups, strong stakeholder coordination, and accurate, timely rooming lists, bookings and reporting that meet service level and cost‑efficiency targets.
Key responsibilities include but are not limited to:
Accommodation Operations & Delivery
- Lead day‑to‑day planning and delivery of tournament accommodation operations.
- Ensure seamless accommodation outcomes for all key client groups across planning and live tournament phases.
- Deliver accommodation milestones aligned to the tournament masterplan.
Blocks, Reservations, Rooming Lists & Financials
- Manage accommodation inventory, room blocks, allocations, pick‑up, cut‑offs and releases with hotels.
- Oversee and support end‑to‑end reservations and rooming list operations, including validation, updates, special requests and late changes.
- Ensure data accuracy, service readiness and operational compliance and drive related financial processes including POs and invoice reconciliation, resolving billing discrepancies.
Stakeholder & Functional Coordination
- Coordinate accommodation requirements with internal stakeholders/departments
- Manage changing requirements across multiple client groups and resolve issues proactively.
- Maintain clear communication and alignment across internal and external stakeholders.
Hotel & Supplier Management
- Act as the primary operational point of contact for hotels and accommodation providers.
- Conduct and/or organise hotel site visits and inspections to confirm readiness and operational alignment.
- Support rapid issue resolution and service recovery, particularly during tournament time.
Team Leadership & Capability Building
- Lead, support and coach Accommodation Coordinator and Reservations Agents.
- Allocate work, set priorities and quality‑check outputs during peak operational periods.
- Support onboarding and training of accommodation team members.
Systems, Reporting & Operational Governance
- Administer and support operational use of the Tournament Management System (TMS).
- Maintain accommodation master data and oversee bookings and amendments.
- Produce and validate operational, readiness and exception reports (e.g. pick‑up, occupancy, forecasting & billing).
Qualifications & Experience
- Minimum 3+ years' experience delivering accommodation or operational services within major international sporting, multi‑venue or large‑scale event environments.
- Proven experience planning and delivering high‑volume accommodation programmes across multiple properties, including significant room night volumes and hotel contracting/supplier management.
- Strong operational capability managing accommodation inventory, room blocks, allocations, pick‑up, cut‑offs, releases and end to end rooming list processes.
- Demonstrated experience coordinating multiple client groups with differing requirements and working across functional areas while managing external suppliers such as hotels and agents.
- Hands‑on experience using Tournament Management Systems (TMS) or enterprise booking platforms, with the ability to produce and validate operational and readiness reports (e.g. occupancy, pick‑up, forecasting, exceptions).
- Proven ability to operate effectively in fast‑paced, high‑volume, live event or 24/7 operations centre environments, meeting fixed milestones while managing risks, issues and dependencies.
- Strong attention to detail, accountability and communication skills; advanced proficiency in Microsoft Excel and Office
- Flexibility to work extended hours and travel as required during peak tournament periods.
