Purpose of the job

To oversee the administration for TeamUCL; one of the largest competitive University sport programmes in the UK. You’ll report to the Sports Club Development Manager and work alongside the Sports Development Coordinator, Project Active Coordinator and a range of talented student staff, and be responsible for supporting the team to achieve our goal of being the best university for Sport in London.

Duties and Responsibilities

Administration of activities

  • Coordinate the effective planning, organisation and communication of sports fixtures to home and opposition teams in British Universities and Colleges Sport and London University Sports Leagues competitions.
  • Act as the principle point of administrative contact for opposition teams and institutions
  • Ensure all sporting results and any resulting appeals are recorded in line with BUCS deadlines
  • Coordinate entries into one-off sporting competitions, ensuring entry deadlines are met
  • Maintain accurate records of team contact lists
  • Ensure all TeamUCL Sports Clubs are appropriately affiliated with their respective National Governing Body in line with BUCS guidelines
  • Administer TeamUCL Sports Club facility bookings internally and externally
  • Coordinate and book transport and accommodation for TeamUCL Sports Clubs
  • Source and allocate officials for BUCS & LUSL fixtures
  • Provide TeamUCL Captains with training on internal procedures and BUCS & LUSL rules and regulations
  • Oversee the travel reclaims procedure to ensure students are reimbursed accurately and promptly for their BUCS & LUSL travel costs
  • Provide administrative support for our intra-mural competition; TeamUCL Leagues
  • Provide administrative support for all sports events
  • Maintain and update Union sporting information & guidance on all union webpages
  • Oversee the day to day running of TeamUCL’s social media channels, ensuring content is of high quality, informative and engaging

Team and general

  • Respond to enquiries from students, UCL and Union colleagues and others in a friendly, effective and efficient manner
  • Attend and contribute to BUCS Competition, Regional and Team meetings
  • Compile and send the TeamUCL newsletters
  • Direct student staff in the completion of administrative tasks
  • Work within the Union’s financial procedures and departmental budgets
  • Co-operate with and support the Union's other activities and undertake such duties within the general framework of the post as may from time to time be required
  • Maintain an awareness and observation of organisational fire and health and safety regulations

To undertake any other duties commensurate with the grade, spirit and purpose of the post, as requested. This job description reflects the present requirements of the post and as duties and responsibilities change/develop the job description will be reviewed and be subject to amendments in consultation with the Sports Development Manager.

The post holder is expected to be flexible in their hours of work as the position, from time to time, entails attendance during evenings and weekends.
