This role will be line managed by the Marketing & Commercial Director – and will act as both provision of administrative support to the COO Senior Leadership Team alongside PA support to the Marketing & Commercial Director – ensuring excellent day-to-day support, as well as customer service to a wide range of internal and external stakeholders and acting as a conduit for effective communication across the COO Directorate and the LTA as required.
- Provide professional and efficient support to contribute to the effective running of the Marketing & Commercial function & COO Directorate.
- Work proactively across LTA Directorates and teams to ensure effective collaboration.
- Provide an exceptional standard of customer service both internally and with external partners.
PA Support across COO Senior Leadership Team
- Provide support for COO in relation to diary management, collation of information across the senior team, e.g. Board reports, Agresso approvals and organisation of quarterly directorate meetings.
- Provide support for Head of Corporate Affairs in relation to processing supplier payments, travel booking, processing expenses and occasional meeting room bookings.
- Provide support for Head of Customer Strategy in relation to processing expenses and agresso approvals, support arrangement of CS team offsites.
- Provide support for Property Director in relation to organising webinars, email invitations and project specific diary management.
- Provide support for Head of Operations in relation to coordination of quarterly national account meetings (circa 13 independent meetings), travel arrangements (e.g. National Partner visits) and Hospitality invites at next year’s major events.
- Provide support for Head of Coach Development & Support in relation to booking accommodation for CD&S team for Tutor training events, CD&S team for CDC mid & end of year meets, and for trips undertaken by Head of Coach Development & Support, booking meeting rooms & venues for team days and WDP/CD&S face to face meets.
Specific Support for Marketing & Commercial Director
- Support diary management as required, including assessment of importance, impact and urgency of diary requests for time with the Marketing & Commercial Director.
- Organise meeting logistics as required e.g. National Partners, agencies, meetings with CEO / CMO / COO of commercial partners, tennis family, conferences
- To organise the agenda for the weekly Marketing & Commercial Leadership team meeting – and monthly Marketing & Commercial team meetings, co-ordinating and prioritising all proposed activities and to ensure all relevant issues are addressed.
- To attend meetings and take accurate minutes when requested by the Director. Circulate minutes to all attendees in a timely manner.
- Co-ordinate necessary monthly reporting, scorecard updates and regular Board papers across the Marketing and Commercial function.
- To undertake planning and preparation work on all quarterly Marketing & Commercial Team Offsites with the Marketing & Commercial Director
- Support organisation of Partner days (Commercial)
- Process travel requirements and expenses (inc. agresso approval across M&C)
- Support compiling communications and presentations and ensure they are distributed in the correct format, with a professional look and feel. E.g. All Colleague / Commercial Partners / other
- Manage expense claims for the Marketing & Commercial Director, submitting them on time with all required documentation.
- Raise Marketing & Commercial requisitions, process purchase orders and invoices as appropriate to ensure a consistent and accurate approach within financial policies and budgetary guidelines.
