About the role

The PA supports the CEO in all areas of their work and provides excellent customer service to a wide range of stakeholders, acting as a conduit for effective communication. The PA also supports Board members with their duties and meeting arrangements.

Key Accountabilities


  • Provide PA and admin support to the CEO, including preparation of reports and agendas, taking confidential minutes, distribution of papers, and dealing with general enquiries from Board and other stakeholder groups
  • Work effectively to ensure the CEO is well-informed of up and coming commitments and responsibilities
  • Provide support and assist the CEO with key projects and relationships
  • Research, prioritise and follow up on incoming issues, including those of a sensitive or confidential nature, determining the appropriate course of action, referral or response
  • Provide professional and efficient support to contribute to the effective running of the CEO’s office
  • Provide an exceptional standard of customer service – professional, courteous, confidential and timely - both internally and with external partners and stakeholders in all duties
  • Ensure effective working relationships with other PAs within the LTA and providing cover when necessary
  • Be the point of contact for the LTA’s Patron, The Princess of Wales
  • Handle personal matters for the CEO on an ad hoc basis

Diary Management

  • Assess the importance, impact and urgency of requests for time with the CEO, arrange meetings and manage coordination of diaries to ensure all necessary attendees are available
  • Maintain an awareness of the wider LTA plans and impact on diaries, scheduling meetings accordingly to make the most effective use of time and availability
  • Work proactively across teams to ensure effective collaboration
  • Proactively identify, organise and manage regular visits to venues and major events to and engagement with colleagues and volunteers across the regions as required

Meeting & Event Management

  • Organise meeting agendas, coordinating and prioritising all proposed activities and ensuring all relevant issues are addressed
  • Set and agree timetables for sending out meeting papers to ensure all deadlines are met
  • Coordinate and produce all necessary papers/packs for relevant meetings ensuring all contributions are submitted in good time and matters arising/outstanding action points are responded to in advance of meetings
  • Attend meetings and take accurate minutes; circulate minutes efficiently to all attendees
  • Undertake planning and preparation work on colleague and Executive off-site events for the CEO
  • Support organisation of key events taking place during the tennis grass court season

LTA Board

  • Be responsible for all matters involving the LTA Board, including arranging and minuting of Board Meetings and any sub committees, to include dinners and Board away days
  • Be the point of contact for Board members, managing and supporting communications on behalf of the CEO as necessary
  • Arrange induction for new Board members

Communication & Correspondence

  • In line with the CEO’s preference, deal with incoming correspondence ensuring an appropriate response and escalation as required
  • Write and compile communications and presentations for the CEO
  • Coordinate with key contributors to consolidate reports for the CEO to discuss with the Executive team, and as appropriate for Board Meetings

Finance & Travel Management

  • Manage expense claims for the CEO and the Board
  • Arrange all travel and hotels in a timely, cost effective and appropriate manner
  • Raise requisitions, process purchase orders and invoices as appropriate to ensure a consistent and accurate approach within financial policies and budgetary guidelines

Systems & Processes

  • Maintain electronic and paper-based filing systems to facilitate effective, confidential and disciplined information management

Person Specification (Essential)

Previous Experience:

  • Previous demonstrable experience as a PA at a senior level (CEO/Board)
  • Strong organisational, prioritisation and time-management skills
  • Experience of working flexibly, with ability to vary work patterns and prioritise tasks to meet the changing needs of the business as and when required
  • Evidence of well-developed communication and written skills and able to liaise and communicate with people at all levels with a high level of diplomacy and professionalism
  • Ability to remain calm under pressure and able to work in a team as well as on own initiative to anticipate and proactively solve important issues
  • Ability to recognise the need for, and maintain, discretion and confidentiality at all times
  • Ability to generate credibility and confidence quickly amongst peers and other colleagues

Knowledge, Training & Qualifications:

  • Excellent IT skills (Microsoft Office)
  • Minuting / notetaking
