About the role
The LTA’s vision is “Tennis Opened Up” and its mission is to make tennis Relevant, Accessible, Welcoming and Enjoyable. The Major Events and Digital Transformation Team are responsible for delivering the LTA’s programme of events driving visibility and enjoyment to new and existing audiences.
We have an exciting opportunity for an experienced Event Coordinator to be part of this year’s team responsible for delivering one of the Davis Cup Finals Group Stage. The Davis Cup by Rakuten is the World Cup of tennis. It is the largest annual international team competition in world sport. The role of the Event Coordinator is to provide administrative and operational support and lead on specific projects allocated by the Event Manager and Tournament Director and contribute to the effective management and running of the Davis Cup Finals Group Stage, to be held at the Emirates Arena, Glasgow, in 2022.
Key Accountabilities
General Operations
- Support the Event Manager to ensure all tournament operational requirements are delivered to a high standard, according to ITF regulations and within set timeframes by employing event management best practice, including but not limited to competition & spectator facilities, temporary structures, catering, security, health & safety, transport, technology, signage, venue services, hotels, accreditation & team service
- Assist with the implementation of an effective event site layout to accommodate all necessary facilities, including the layout and design of any temporary structures, with a view to providing the ultimate customer experience, for teams, VIPs, staff & spectators
- Check and challenge ways of working with contractors, suppliers and personnel to meet the standards and expectations of the event & LTA’s sustainability policy
- Support the Event Manager with the provision of Show Production for the tournament, identifying opportunities for delivery, managing budgets, working with the commercial team on partner obligations and implementing the operational plan in line with guidance from external stakeholders
- Work with the event Safety advisors to ensure own areas of delivery are following industry standards
Workforce
- Help implement the event workforce plan to ensure suitable resourcing of all event operational areas
- Support the Event Manager with the necessary training & guidance for temporary event personnel
- Provide the required guidance and event details for the successful implementation of larger workforce groups, such as officials, ball crew, volunteers
Budget
- Responsible for helping the Event Manager in managing designated budgets for the specific operational projects, ensuring that costs are challenged and negotiated to deliver best value for money
- Ensure that any unexpected expenses are flagged in advance and impact reduced as far as possible via practical problem solving
- Work closely with the Event Manager to identify efficiencies, innovation and growth opportunities while ensuring the event and commercial objectives are supported and met
Onsite Responsibilities
- Help coordinate contractor/supplier install and delivery across all projects, within budget and schedule and to a high standard
- Point of contact for certain event services contractors, dealing with any onsite queries relating to the maintenance of services during the build, live dates and de-rig of the event
- Work closely with the Event Manager and venue team to ensure that the site is presentable and in an appropriate condition to be opened to the general public each day
- Pre-empt and trouble-shoot problems which arise onsite and deal with last minute requests from various stakeholders
General Requirements
- Liaise with external contacts, such as suppliers and contractors, as required
- Provide outstanding customer service to tennis stakeholders and visitors, responding quickly with true personal ownership and responsibility in a world class working environment
- Be an ambassador for the new vision of the LTA both internally and externally communicating and promoting the vision and direction of the LTA with passion
- Build, manage and maintain strong inter-departmental relationships and communication within the organisation and work in partnership with other team members
- Use initiative to make suggestions to improve the working situation within own area of work and the LTA as a whole
