Job Purpose

The Contracts Administrator will be a key member of the Campus Development Unit within Sport Ireland reporting directly to the Director of Campus Development. They will be responsible for the effective day to day provision by the Unit of a range of services and supports for Sport Ireland's workforce in the areas of Campus Development.

Duties and Responsibilities

  • Report to the Development Director and provide administrative support on Development matters.
  • Supporting the development team with project documentation associated with the PMO process.
  • Work with finance and development team colleagues to support the development and launch of new processes to improve the administration of contracts, invoicing and POs.
  • Work with procurement to streamline contract award through call offs from existing frameworks.
  • Maintaining a contracts tracker to proactively flag expiring contracts, supporting the approval of uplifts and the contracting of additional works.
  • Support the efficient management of the team through the development and introduction of new processes and auditing of these to raise standards and ensure compliance.
  • Support or leading on any other matters as required by the Development Team.
  • Ensuring POs are raised in line with contract value and recorded and tracked.
  • Ensuring invoice packs approved and submitted by project managers are in line with approved contracts.
  • Supporting the collation and management of procurement documentation as required by the client representatives and procurement specialist.
  • Monitoring compliance with Sport Ireland PMO processes, ensuring Project Managers and Client Representatives submit agreed documentation in line with reporting deadlines, flagging any non-compliance with the Head of PMO.
  • Collating key information and documents for committee and board meetings.
  • Tracking development team member quarterly objectives and actions, requesting updates in line with agreed delivery / achievement dates.
  • Administration support to development team associated with project meetings, CPD etc.

The duties listed above are not exhaustive and may be varied from time to time as dictated by the changing needs of the organisation. The post holder will be expected to undertake other duties as appropriate and as requested by the line manager and Unit Director.

Person Specification:

Essential: Qualifications, Experience, Knowledge, Skills and Abilities

  • Relevant Third Level Qualification (minimum Degree or Diploma) AND a minimum of 2 year’s previous experience in a similar role OR,
  • Excellent administration and organisational skills.
  • Ability to work effectively on own initiative and in a team environment with commitment to personal and professional development.
  • Must have a high proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Attention to detail is essential and maintaining high standards in all business activities.
  • Have excellent planning and analytical/interpretative skills.
  • Able to follow instructions closely.
  • Ability to work under pressure.
  • Be well organised and work to strict deadlines, with the ability to manage and prioritise; different, and sometimes conflicting workloads.
  • Must have excellent interpersonal skills and the ability to communicate effectively with a range of different stakeholders.

HEO Standard Scale. The appointment will be made on this scale at a point in line with current Government Pay Policy. New entrants to the public sector commence on the first point of scale.
