Overview of the role

The Events Team is based at BT Murrayfield and manages all events that happen at Scottish Rugby venues across Scotland.

The Events Administrator is key to making sure that all events, meetings, and the Events office runs smoothly and efficiently. The administrator reports directly to the Head of Group Stadium Operations and supports them in all administrative duties, including managing their emails, arranging meetings and appointments, preparing materials for meetings and presentations.

When there are events, the administrator supports the wider departments in the coordination of match day support including volunteers and mascots.

Key Accountabilities

  • Provide administrative support to the Head of Group Stadium Operations and wider Events team, including arranging and preparing for meetings, minute taking, event bookings, processing accreditation applications and arranging travel as required.
  • Coordination of events calendar for BT Murrayfield Stadium ensuring it is up to date
  • Pre and post event administration for up to 100 match day staff
  • Making event bookings, ensuring all event documentation and files are relevant, up to date, and then distributed on time
  • Coordination of mascot programme including invitations, scheduling, liaison with national team management and players
  • Provide general office management support to the Events department
  • Administrative support on event days

To be successful in this role

  • Experience in a similar administrative role within a sporting / events environment is a great advantage.

Other things to know about:
Professional sports happens seven days a week! This means we are not your typical Monday to Friday job. Our most exciting days are when we have matches and events – quite often these are during the evenings and on weekends. We do however want our people to have a work life balance, so you can take time back and we actively encourage flexible working.

This role will be predominantly based at BT Murrayfield stadium to ensure the best support to the team, however there is flexibility to accommodate occasional working for home.
