The Club: Kingsknowe Golf Club is a progressive and sociable 18-hole private members club located in south-west of Edinburgh.

The Club is in the middle of a major renovation of the internal and external fabrics of the Clubhouse and is looking for an individual capable of attracting new members and securing revenue creating events to take advantage of the major investment. Major investment has also been made in the course and The Club has recently invested heavily in a new fleet of machinery and operating budget to support the Head Greenkeeper. We are looking for an individual who can assist the club in maximising the social and financial returns on these investments for our members.

The Candidate: The Club is looking for a dynamic, personable individual who can lead a team and oversee the day-to-day operation of the Club. People management and strong financial management are at the heart of everything that we do.

Job Summary:

  • In line with the strategic objectives, implement the policies and procedures defined by the Board of Directors for the benefit of members.
  • To support the board in all aspects of financial management of the club including, but not limited to, monitoring/management of budgets for each department, developing / advising the board in relation to capital / revenue budgets, providing early warning to the board on financial pressures to allow precautionary measures to be taken in a timely and pro-active manner.
  • To ensure the efficient operational aspects of the Club ensuring synergies and cooperation across all areas and key stakeholders on a daily basis. This is a key position where you will be working as part of the management team alongside the course and hospitality managers.
  • Responsible for the management of employees across all areas of the Club.
  • To provide facilities and services for members consistent with policies as agreed with and defined by the Board of Directors.
  • To ensure effective communication between Directors, Members, Committees, Partners, and other internal and external stakeholders.
  • Undertake other administrative, financial and management tasks as may arise from time to time as directed by the Board of Directors.
  • Ensure that the club operates to the highest Golf Club Managers Association standards and consistently strives for operational excellence.

Scope and Key Responsibilities

Operational Excellence

  • Overall operatonal responsibility for the development and implementation of all service offerings and operating standards at the Club.
  • Responsible for implementing and monitoring processes to retain existing members, attract new members, and secure revenue generating events (one-off and recurring).
  • Implement productivity and cost savings without impacting on member/guest/visitor quality and service standards.
  • Lead the Clubhouse operations ensuring sufficiently high quality and standards across all areas.
  • Ensure compliance with regulatory and legislative requirements of the business to protect against liability through non-compliance.

Management of Employees

  • To act as a line manager for the administration and financial accounting staff employed by the club to support them in delivering their objectives on behalf of the club. Ensure that each perform their duties in accordance with job descriptions and contracts of employment.
  • To maintain personnel records for the club ensuring that contracts of employment, job descriptions and employee details are up to date.
  • To maintain the employee handbook.
  • To record any instances of complaint against any employee. Record full details of any disciplinary action taken against any employee.
  • To set meaningful objectives for staff within your team and carry out annual staff appraisals against those objectives and dealing with any issues arising.
  • To ensure that a record is maintained of hours worked and any unauthorised absence from work for all staff in the club.
  • To ensure that staff holidays are co-ordinated to ensure that holidays are taken in a planned manner throughout the year. Where possible peak periods such as club championship should be avoided.

Administration

  • To have overall responsibility for the running of the administration of the club and its premises. To manage the provision of all office services, including IT, Telephony and current golf systems, specifically Intelligent golf and SG app.
  • The administration of all committee meetings held on behalf of the club e.g., Board meetings, Convenors meetings, AGM and ongoing monitoring / reporting on actions from these meetings.
  • To ensure the efficient and accurate administration of club competitions via the Intelligent golf and SGU app.
  • Produce a weekly newsletter for the information of all members, highlighting current news, results, and forthcoming events.
  • In liaison with the Club Professional, Catering franchise, Bar Manager and Course Manager, arrange and effectively manage Society and visitor bookings to provide a positive experience at Kingsknowe Golf Club.
  • To ensure efficient and cost-effective purchasing.
  • To ensure compliance with all legislative requirements including health and safety and company contracts.

Finance, Accounting and Financial management

  • To attend all Finance meetings, create agendas, take minutes, and manage the delivery of actions from these meetings and keep the Board of Directors informed of progress with agreed actions.
  • To ensure the efficient and accurate operation of accounting software to point of reconciliation.
  • To develop and fully implement the club’s annual budget and monitor all expenditure on a day-to-day basis to ensure budgetary compliance and minimise wastage.
  • To monitor monthly expenditure of each department and ensure that it remains within budget. Where any adverse variance is likely to occur provide early warning to the relevant convenor / club captain and advise on relevant corrective action.
  • To compile accurate and timely salary information for our payroll partners.
  • Ensure that the clubs tax affairs are dealt with effectively, liaising with external accountants when required.
  • Ensure timely payment of all properly authorised bills and accounts, in an efficient and professional manner.
  • Develop and manage the life cycle replacement budgets to ensure that capital is set aside in a timely manner to allow replacement of plant, equipment fittings and furnishings to a standard agreed with the Board of Directors as part of the capital plan.
  • Develop and maintain the club’s capital investment plan in conjunction with the Board of Directors.

Health and Safety

  • To be responsible for the health and safety policy implementation on a day-to-day basis and provide direction to senior staff.
  • Ensure the club is fully compliant with regards to Statutory health and safety legislation.
  • To ensure fire alarm tests and emergency lighting tests are carried out on a regular basis as in line with the Fire safety plan.
  • To manage the accident reporting system in conjunction with the line managers and where necessary keep the board informed of any issues which arise.
  • To maintain through line managers up to date records with regards to COSHH, risk Assessments/method statements, and staff training.
  • Ensure all contractors visiting site sign in and report back to the office with an update on work carried out prior to leaving site.
  • Ensure that the club completes its annual audit via our health and safety advisors with a successful outcome.

House

  • To attend, Minute and monitor delivery of actions from all food and beverage sub-committee meetings.
  • To monitor the House budget throughout the month / year and provide regular updates to the convenor / club captain on budget compliance / forecasts.
  • To manage the clubhouse operations with the catering franchise and bar manager to ensure a good quality service is provided to members and visitors throughout the year.
  • Ensure the maintenance of the club’s premises in line with the life cycle replacement model, annual inspections, warranties, and budgets.
  • To ensure compliance with the clubs’ license to sell alcohol and apply for any amendments to the license to ensure compliance is maintained.
  • Ensure that the catering franchise provide evidence of a compliant food hygiene certificate in compliance with current legislation.
  • To work with the F&B management team to ensure timely promotion of events to maximise attendance from our membership.
  • To assist the F&B management team to book acts / specialist entertainment required to support member events.

Course

  • To attend, minute and monitor delivery of actions arising from the course sub-committee meetings.
  • To liaise with the Greens Convenor and the head greenkeeper on all matters relating to the management of the course.
  • Work with the Greens convenor and Head Greenkeeper to develop a plan for the development of the course and ensure this plan is reviewed / agreed at board level annually and communicated to members.

The Professional

  • To work closely with the professional and club admin assistance to ensure the effective management of all golfing matters, including Club competitions, opens etc.
  • To work with the professional to maximise visitor income whilst maintaining access to the course for members.

Marketing

  • To maintain and update the club website and promote Kingsknowe Golf Club in a manner which reflects our progressive approach (where we are evolving the traditional values of the game into relatable concepts for the 21st century golfer), and our strong social atmosphere.
  • To actively promote and grow golf membership, in conjunction with the club professional, positively seeking ways to ensure membership achieves full capacity in all sections.
  • To ensure that the clubs social media accounts are current and reflect any promotions and news to sell / promote the club effectively to members, prospective members and visitors.
  • To promote the club within the local community to maximise brand recognition and ensure Kingsknowe Golf Club becomes a recognised club of quality within Edinburgh.
  • To ensure that annual member surveys are undertaken to inform the strategy / direction of the club across course, food and beverage, Professional shop and admin functions.
  • To keep up to date with best practice for promotion of Kingsknowe Golf Club on both a local and national level.
  • Seek opportunities for external sponsorship / partnership to increase revenue and promote the club in a positive manner.

Experience and Qualifications

  • Knowledge and experience of golf club management with a proven track record in business process.
  • Ideally the candidate will be on a recognised education pathway delivered by the Golf Club Managers Association of Europe (GCMAE) or Golf Club Managers Association (GCMA).
  • An excellent communicator with strong influencing and interpersonal skills.
  • Strong leadership and communication skills to motivate, performance manage and lead a team within the golf industry.
  • The ability to develop positive and collaborative relationships with stakeholders both internally and externally.
  • Firm understanding of financial processes and budget setting / management.
  • The ability to work with colleagues at all levels of the organisation from committee members to front line operational staff.
  • Competent in IT and computer technology.
  • The ability to prioritise / manage workflow to achieve tight deadlines.
  • Working knowledge of the CONGU unified handicapping system / world handicap system.
