Glasgow Warriors have a great opportunity to join the team as the Glasgow Warriors Administrator. The GW administrator is key to making sure all events, meetings, travel and the general office runs smoothly and efficiently. The administrator will report directly to the Head of Operations and will support them in all administrative duties, including emails, arranging meetings and appointments, preparing materials for meetings and presentations.

During events, the administrator supports the Commercial & Marketing departments in the coordination of invites to guests, and ensuring that other internal departments are updated on arrangements. Travel arrangements for the team can get complex. Therefore, the administrator plays a key role in managing team travel, whether in the UK or abroad.

Key Accountabilities

  • Support budgeting and bookkeeping procedures
  • Track office supplies and place orders as required
  • Work with Rugby Operations Manager to organise both domestic and international travel
  • Organisation of flights/ hotels/ transfers/currency and production of detailed itineraries
  • Support Rugby Operations Manager in collation of documentation for Schengen visas
  • Arranging internal and external meetings including: -
  • Booking rooms/ venues/ catering /conference facilities as required
  • Preparation and distribution of agendas
  • Managing attendee requirements as required
  • Attend meetings as required and take associated minutes

We are looking for someone who:

  • Has at least 2 years' experience in a similar administrative role.
  • Experience of working positively with internal stakeholders.
  • Experience of working in a professional sports environment would be advantageous.
