Ealing Trailfinders is an ambitious, progressive, developing rugby union club playing in the RFU Professional Championship League.
This is an opportunity to join the club’s enterprising Academy during a very exciting period of the club’s history.
THE ROLE
Ealing Trailfinders in partnership with Brunel University are looking to appoint an Academy Operations Manager to oversee all the operational duties of the department. This is an exciting opportunity to support the new structure of the Trailfinders Academy and be a part of a forward thinking and innovative team to make sure we are delivering a first class programme.
The Academy is fully committed to supporting the continuous professional development of all their staff and we see this as an important part of the whole programme on and off the field.
DUTIES AND RESPONSIBILITIES
Strategic:
- Work with the Academy Manager on a strategy for the delivery of the logistical and operational requirements at Brunel University RFC.
- Implement a strategy with the Academy Manager for the delivery of the logistical and operational requirements for the TF U18 and EPP programmes.
- Actively contribute to all relevant steering/strategy groups with all TF Academy stakeholders.
- Support the recruitment of high-level Rugby players to Brunel University and relevant academy programmes.
- Contribute to strategic decision-making and future projects with the Academy Manager.
Operational:
- Create and implement a yearly operational plan taking account of all key dates for recruitment, academic, marketing, events, and Rugby (A-Team, Brunel, Sevens, U18, EPP and Partner Schools fixtures and events) within the TF Academy.
- Lead all logistical and operational planning within the Brunel University Programme and Academy u18 programme.
- Collaborate with Brunel University to ensure all Minimum Operating Standards are met and maintained for BUCS Super Rugby.
- Lead on all matters of internal and external academy discipline in line with the clubs and relevant stakeholder disciplinary procedure.
- Make sure Team Managers are working with Brunel University Students Union in completing all required registrations / referees and requirements for RFU and BUCS governance.
- Oversee the Management of TF Facilities based at Brunel and Partner Programmes.
- Set and define weekly logistics schedule for Brunel-based staff around equipment usage
- Lead all fortnightly Brunel Rugby Operational meetings and HODs meetings.
- Ensure all staff have undertaken a DBS check and safeguarding training as appropriate.
- Manage access and ongoing support with accommodation of all Brunel Scholars.
Academic:
- Provide guidance on all academic matters in relation to the Academy for students and staff
- Understand the courses available within the University, the routes to acess them and facilitate entry as appropriate.
- Manage and support the academic applications of all TF scholars and rugby applicants to Brunel.
- Maintain records of applications for interactions with admissions staff at Brunel.
- Be the first point of contact with Brunel Taught Programme Officers and the Divisional Lead.
Other Responsibilities:
- In conjunction with the TF communication team create a coordinated annual media, marketing, and communication plan to ensure the utilisation of all available social media and communication tools to identify opportunities to positively promote and publicise TF Academy.
- Lead on the delivery of external engagement events (University Open Days, Rosslyn Park etc.…)
- Ensure all relevant academy activities are communicated effectively to the Media and Comms department.
- Collaborate with the Brunel Media School and Brunel Students Union to manage the Brunel comms intern and ensure all minimum operating standards are met for BUCS Super Rugby
- Contribute to the Academy Newsletter & Patrons Programme.
- Manage the academy email account.
- Set a positive example as a leader of the programme.
- To contribute positively to the team environment and culture.
- Be a strong consistent example of all the club’s values and vision.

Experience
- Have a proven track record of management in a similar related environment
Skillset
- Be capable of coaching, developing, and creating a high-performance culture and environment.
- Display strong leadership and high standards in supporting all off-field logistics.
- Have a strong understanding of the educational pathway.
- Have a strong background of attention to detail and planning.
- Have excellent communication and presentations skills with experience of delivery.
- Be a confident and proficient user of information technology.
